Stage and space
- Ask the band how much space their lineup needs, and mark it out at the venue.
- A raised stage helps guests see the performers.
- Outdoors, plan a covered stage in case of rain or dew, on a flat, stable surface.
Power
- Ask the band how many power points they need and how much load their equipment draws.
- Have those points close to the stage, ideally on a different line from the catering equipment.
- Outdoors, arrange a backup such as a generator.
Sound limits and cut-off time
- Ask the venue when music must stop and whether it has a volume limit.
- Under India's Noise Pollution (Regulation and Control) Rules, 2000, loudspeakers can't be used between 10 pm and 6 am except in closed premises such as banquet halls. A state can allow use until midnight on festive occasions, for up to 15 days a year.
- Plan the evening so the highlights happen well before the cut-off.
Setup and sound check
- Ask the band how long they need, and give them access to the stage early enough.
- Finish the sound check before guests arrive.
Getting in
- Parking or a drop-off point close to the stage for equipment.
- A route without too many stairs, if you can.
- A contact person at the gate who knows the band is coming.
For the team
- A room or a corner to change and keep instrument cases.
- Water, and a meal at a time that fits their sets.
